Digital Archive System
DAS (Digital Archive System) development for Serbian Ministry of Justice
Project Overview
Digital Archive System (DAS) is a comprehensive solution designed for the collection, processing, conversion, review, distribution, and storage of archive files in electronic format.
This functional crossover data acquisition platform is built on a microservice architecture, comprising multiple system application modules. These modules enable the real-time collection, processing, distribution, and storage of various data sets with differing levels of security.
To ensure both security and performance, the platform employs isolated and separated application system services. It also includes a unique system for real-time searching, reporting, and monitoring, providing a robust and efficient framework for data management.
Key Features
Full Digitalisation
DAS scans documents from remote devices, supports digital signing, time stamping, and secure storage, and assigns descriptive attributes for organisation.
Secure Storage
Documents can be viewed, distributed, or locked securely, while tracking changes and preserving version history to ensure data integrity.
System Integration
DAS integrates with external systems for automated archiving and supports multiple formats like PDF, DOC, and TIFF.
Remote Access
Provides anytime, anywhere secure access with robust security policies for flexible use.
Data Protection
Protects digital archives from data loss, ensuring business continuity and security against potential risks.
User Guidance
Guides users through clear workflows, simplifying processes and enhancing operational efficiency.
Project Outcome
The Digital Archive System (DAS) has proven its value through successful implementation by the Serbian Ministry of Justice, demonstrating its capacity to revolutionise document management in complex organisational environments. By streamlining internal operations, DAS has significantly enhanced the Ministry’s efficiency and reduced operational costs. This achievement underscores the platform's ability to meet rigorous standards of reliability, security, and compliance, making it a trusted solution for handling sensitive and high-volume documentation.
One of the unique functions of DAS, which distinguishes it from conventional systems that merely scan and store documents on a server, is its capability to digitally sign and timestamp processed or imported documents. These digitally signed documents carry the same legal validity as traditional paper documents with an official stamp, ensuring compliance with regulatory standards while eliminating the need for physical documentation. This feature not only enhances the security and authenticity of the stored records but also simplifies workflows, paving the way for seamless digital transformation in organisations.
